Submission Timeline for Attendee Email Deployments

Three weeks before your scheduled deployment date
If you hire Plan Bee Direct to design your email in HTML format-Submit your email design request if you would like Plan Bee Direct to create the message. This allows time for design, review, and up to two revisions.

Two weeks before your scheduled deployment date
Submit a full copy of your message for review. Include all text, images, and working links so the message layout and content can be verified.

One week before your scheduled deployment date
Complete the setup form. Include a final version of your message in HTML format*.

* HTML format is required for any email that includes images, buttons, hyperlinks, or styled layouts. Plain text emails without links or images do not require HTML.

The following disclaimer will be added to the footer of each message above the opt out statement if you do not add it to your message. If possible, leave a blank row with the word ‘opt-out’ on the bottom of your message:

All messages with images, special characters and/or hyperlinks should be in .html format. Please inquire for rates if you would like to have your message converted in response HTML format.

Date Reservation

  • All materials are due at least two weeks before your reserved date. View the cutoff date link above.
  • Select one date for each deployment you are permitted to send. Example: If you are permitted one deployment, select one date. If you are permitted two deployments, select two dates.
  • All companies are limited to one deployment per day to protect performance and maintain a positive experience for attendees.

Content Approval

This step is not required. Please submit content for advance approval if you have it available before your cutoff date. You are permitted to upload a PDF or Word version of your email at this stage. All links must be live.

Email Transmission Details
 
  • Please place one order per eblast.
  • All transmissions include up to two test messages.
  • All mentions of the event (including subject line and pre-header text) should be displayed as required by the Heart Rhythm Society.
  • You are not required to include an opt-out statement or disclaimer. One will be added to the footer of your message.

Upload Your Message

If you do not have your final HTML file ready now, skip this question and send via email (no later than two weeks prior to your transmission date).
 
NOTE:

-All messages with images must be in HTML format with images hosted.
-Complete instructions are available here.
-Fees may apply to remove/edit coding from a 3rd party system.
 
Before uploading, check that all links work and copy is correct. Each deployment includes up to 2 test messages; additional tests may incur a fee. If you require assistance with converting your message to HTML, please contact us for a quote.
