The Basics

You must be an exhibitor, advertiser, or sponsor of the 2027 APIC Annual Conference and Expo to send email deployments. For Information on becoming an exhibitor, advertiser, or sponsor, please follow this link.

Please Note: These suggested cutoff dates allow time for setup, testing, and scheduling. If you’re unable to meet a cutoff, please contact your Plan Bee Direct representative as soon as possible. We’ll work with you to accommodate your timeline whenever scheduling allows.

Three weeks before your scheduled deployment date
If you hire Plan Bee Direct to design your email in HTML format, submit your email design request if you would like Plan Bee Direct to create the message. This allows time for design, review, and up to two revisions.

Two weeks before your scheduled deployment date
Submit a full copy of your message for review. Include all text, images, and working links so the message layout and content can be verified.

One week before your scheduled deployment date
Complete the setup form. Include a final version of your message in HTML format*.

* HTML format is required for any email that includes images, buttons, hyperlinks, or styled layouts. Plain text emails without links or images do not require HTML.

The following disclaimer is required on all emails and must appear exactly as written, with (SPONSOR) replaced by your company name:

Date Reservation

These suggested cutoff dates allow time for setup, testing, and scheduling. If you’re unable to meet a cutoff, please contact your Plan Bee Direct representative as soon as possible. We’ll work with you to accommodate your timeline whenever scheduling allows.

  • All materials are due at least two weeks before your reserved date. View the cutoff date link above.
  • All companies are limited to one deployment per day to protect performance and maintain a positive experience for attendees.
  • Select one date for each email deployment included with your sponsorship.
    • If you have one deployment, select one available date from the pre-conference, during-conference, or post-conference options.
    • If you have two or more deployments, select one date for each deployment. You may choose any combination of pre-conference, during-conference, and post-conference dates.

Content Approval

This step is not required. Please submit content for advance approval if you have it available before your cutoff date. You are permitted to upload a PDF or Word version of your email at this stage. 
 
Please Note:
  • All links must be present and live.
  • All images should be present.
  • All mentions of the event should be displayed as instructed. This information is located in the Campaign info section here. 
  • A .zip file is preferred for HTML uploads.
    If you receive the error message “The uploaded file type is not allowed,” please compress your .html file into a .zip file and upload again, or email the file to your Plan Bee Direct representative.
Maximum file size is 10 MB. If your file exceeds this limit, please email it directly to us.

I would like to obtain the APIC 2027 Annual Conference & Exposition logo (eps, vectored format and jpg format) for one-time, non-exclusive use. I have read and understand the terms and conditions regarding the usage of said logo. If any of the terms and conditions are violated, I understand that I may be banned from exhibiting at the 2027 and future years annual APIC Conference.
